Policies & Procedures

CANCELLATION POLICY
If for ANY reason you need to cancel or reschedule your appointment, a minimum 12 hour notice is required. This means ANY reason, sickness, car accident, family emergency, etc. Trust me, I do not enjoy enforcing this cancellation policy, so please know in order to make it fair across the board, I will not make judgment calls on each scenario, if there is not at least a 12 hour notice 100% of the appointment fee will be charged unless you have purchased the appointment insurance. I will also not work with anyone who is sick or showing symptoms of being sick. If there is uncertainty involving your scheduled appointment, please contact me as soon as possible to make arrangements for an option that may allow us to avoid the cancellation/rescheduling fee.
In return, I will also provide you at least 12 hours notice if I need to reschedule and if I am within the 12 hour window, your appointment will be compensated.

APPOINTMENT INSURANCE
For $50 the Appointment Insurance policy will cover all of your appointments against any 12 hour cancellation policy issues, including illness. Policy is valid until needed or for one year at which time you would purchase the policy again and the year coverage starts over. The Policy needs to be purchased before appointment.

APPOINTMENT DURATION
Appointments will start and end at scheduled time. Please plan to arrive no more than 5-10 minutes before your start time. If late arrival is inevitable, your appointment will be shortened in order to keep on schedule with the original treatment fee charged.

CELL PHONES AND OTHER DEVICES
Please silence all devices during your appointment. Don’t forget your wearables such as watches and what-nots. It’s ok to disconnect from our devices now and again. Please let me know if you need to keep a device active due to some type of emergency.

ZERO TOLERANCE POLICY
I will not tolerate any inappropriate behavior, sexual requests, innuendos, jokes, gestures or suggestive comments. Any conduct that is in violation of this ZERO TOLERANCE policy will result in immediate termination of the session with full payment required. Local authorities will be contacted.

INSURANCE BILLING
My office does not offer direct billing to insurance companies. I can provide a receipt for your session that you may submit to your insurance company for possible reimbursement. You must contact your health insurance provider to verify that massage therapy is a covered plan benefit and for instructions on how to submit your claim. You are responsible for full payment at time of appointment.

GIFT CERTIFICATES
Ben Stone Massage Therapy is not responsible for lost or stolen gift certificates. Gift certificates cannot be refunded or redeemed for cash. Gift certificates have no cash value. Gift certificates may not be used to purchase other gift certificates. Ben Stone Massage Therapy reserves the right to refuse service or reverse any gift certificate purchase for any reason and return the funds to the purchaser at the original purchase price. If the service price exceeds the amount of the gift certificate, the redeemer is responsible for the remaining balance. Gift certificates cannot be combined with ANY additional discounts, including: discounted gift certificates, coupons, membership discounts or special offers.
Gift Certificates with an unused balance over 24 months old will be assessed a $5 per month dormant account fee.

PAYMENTS DUE AT TIME OF SERVICE
All payments due at or before time of appointment. Online appointments require payment for full amount of service. I will gladly accept most forms of payments to include venmo, paypal, cash, check, credit card. I also appreciate forms of payment with lower to no processing fees.

INCLEMENT WEATHER
We will not enforce the cancellation policy due to inclement weather. Most likely there will be some advance warning of potentially hazardous weather. I will do my best to contact you as soon as possible to discuss a plan for your upcoming appointment. If you feel that the pending weather would cause more of a hazard than is necessary, please contact me as soon as possible so we can make arrangements to reschedule.
